Accounting
- Maintain accounting ledgers as required by Independent Auditors in compliance with state regulations
- Submit financial records to Independent Auditor in format requested
- Provide Internal Audit to assist charter school in verifying data integrity for audit submission
- Bank statements reconciliation
- Process submitted requisitions and purchase orders and prepare vouchers for printing or electronic payment (24/7 Payables)
- Post receipts and track revenues
- Track encumbrance of funds
- Assist charter school in creating and maintaining asset registers and inventory
Budget Management
- Budgeting and Cash Flow Projections (for all proposed years)
- Long-term strategic financial planning
- Assist charter school in budget preparation in compliance with states’ Financial & Program Cost Accounting & Reporting Guidelines
- Report budget violations to charter school
- Budget tracking and cash flow reporting
- Annual operating budget projection
- Full breakdown of projected expenses
- Budget narrative to include in petition
Reporting
- Monthly budget to actual obligations
- Quarterly (Fund) Balance Sheet, Statement of Revenues, Expenditures, and Charges in Fund Balance
- State Annual Financial Report (SAFR) – Component Unit Accounting of District
Payroll Administration
- Payroll, Taxes, and Accrued Benefit Maintenance
- Complete payrolls biweekly from data submitted and approved by district
- Electronic submission of approved payrolls
- Prepare printed checks and electronic deposits for charter school approval and distribution
- Distribute electronic check stubs and information to employees
- Maintenance of Payroll/HR files in compliance with requirements of state and federal law
- Audit Representation for workers compensation insurance
- Submit state reports – RT-6 form
- Submit federal reports – 941, 940, W-2, 1099, 1096 forms
- Obtain W-9s and set up employee files
Federal Programs Administration
- Prepare and submit allocated state and federal grants after consultation with charter school and district in utilization of funds
